The Sales Administration Manager is responsible for providing administrative support to the sales, finance and operations team of Flowbird Polska and ensuring smooth and efficient sales operations. This role requires strong organizational and communication skills, attention to detail, and the ability to work well under pressure. Sales Administration Manager reports directly to the Regional Manager.
Job Responsibility
Order Processing: Responsible for processing standard hardware sales orders from DLP to invoice and maintaining accurate records
Sales Support: Provides support to the sales team by handling administrative tasks such as preparing sales proposals, creating sales reports, and maintaining customer databases (orders, contracts, invoices…) registered, archived and synchronized within systems
Finance Support: Gathers data for invoicing, distributes the invoices, manages incoming documents, prepares reports related to the annual invoicing, analyses contracts in reference to Flowbird terms and conditions
Data Management: Responsible for maintaining accurate financial records MBR file, Orders files, SalesForce and CRM system, tracking service delivery performance and its invoicing. Maintaining sales data and preparing reports for management and sales review
Maintaining Record Keeping and Documentation: develop and implement efficient systems for record-keeping and document management
ensure compliance with relevant regulations and maintain accurate and up-to-date records
Office management: responsible for managing administrative sales documents and its archiving
EasyPark (MPP) Sales Support: Providing full administrative support for the sale of EasyPark MPP mobile services, including the preparation of dedicated offers and contract annexes for clients using this platform
MPP Order Processing: Supervising the process of registration, fulfillment, and invoicing of EasyPark MPP mobile services
EasyPark Data Management: Responsible for maintaining accurate and up-to-date data regarding clients, orders, and revenues from EasyPark MPP activities in CRM systems (e.g., Salesforce) and financial files (e.g., MBR)
Requirements
Candidates must possess at least a Bachelor's degree and have a minimum of 3 years of professional experience in administrative roles or as a sales assistant
Foundational understanding of invoicing and finance tasks
Proficiency in data archiving, database creation, and process management
Familiarity with customer satisfaction and archiving protocols
Expertise in workflow organization and the ability to optimize existing processes
Strong verbal and written communication skills
High level of competence with computer applications, including Excel, Word, the Internet, and Google Suite
Capability to establish and execute custom organizational and communication systems
Full professional fluency in both English and Polish
