Job Description:

My client, a leading entity within a well-regarded Construction and Property Group, is currently seeking an experienced and meticulous professional to manage the essential administrative functions of its property arm. This role, the Sales Administration Manager, requires a dedicated individual to oversee documentation, streamline processes, and provide comprehensive administrative support to the sales and operational teams.

Job Responsibility:

  • Sales Documentation: Managing the end-to-end processing of all sales documents (Booking Forms, SPAs, loan documents, progressive billing) and ensuring compliance with the HDA
  • Stakeholder Coordination: Acting as the primary liaison between purchasers, financial institutions, panel solicitors, and real estate agencies
  • Team Leadership: Leading and mentoring the Sales Administration team while driving process improvements and system management (CRM/Booking systems)
  • Reporting & Governance: Preparing critical sales and collection reports, monitoring key KPIs, and ensuring audit readiness and full regulatory compliance

Requirements:

  • Possesses a Diploma or Degree in Business Administration, Real Estate, Marketing, or a closely related discipline
  • A minimum of 5 to 7 years of substantive experience specifically within property sales administration
  • At least 2 years of experience in a supervisory or managerial capacity, leading an administrative team
  • Deep and practical understanding of Malaysian property laws, the Housing Development Act (HDA), and standard residential/commercial loan documentation processes
  • Proficient in using CRM systems, advanced features of Microsoft Excel, and various digital documentation/workflow tools
