Job Description:

The Rewards & Benefits Coordinator supports the delivery of our reward, recognition and engagement initiatives through timely and accurate administration of all related processes. This role is a central point in the team, helping to keep our projects and processes aligned, on track and delivered effectively across the organisation.

Job Responsibility:

  • Act as the first point of contact for all reward, benefit and engagement related queries
  • Support colleagues and managers with first-line advice and guidance on various reward and benefits
  • Administration of benefits and colleague recognition schemes
  • Coordination of our reward and recognition platform
  • Ensure that all information contained within the platform is relevant, accurate and applicable
  • Provide support as required for any campaigns, competitions or engagement Initiatives
  • Support the delivery of the annual benefits calendar
  • Help develop and maintain benefits communication materials and guides
  • Support and promote colleague awareness initiatives related to rewards and benefits
  • Update the HR & Payroll system with any changes to benefit information
  • Support the delivery of new initiatives as required
  • Ensure that the company vehicle policies and processes are communicated effectively
  • Maintain our fleet records, systems and processes
  • Manage the internal recharges process
  • Maintain the vehicle trackers and fuel cards
  • Monitor the use and condition of the company pool car
  • Act as the first point of contact with our fleet management company
  • Analyse all reports and make recommendations on actions
  • Maintain car allowance records
  • Track any changes in company car allocation
  • Work collaboratively with the Pensions Specialist
  • Ensure all tasks are carried out accurately, efficiently and that issues are escalated appropriately
  • Proactively seek out opportunities to improve processes
  • Coordinate our invoicing process
  • Liaise with brokers and suppliers when required
  • Obtain and analyse relevant information for the department
  • Ensure that policies, procedures and process maps are kept up to date
  • Support the delivery of the colleague engagement survey as required
  • Any other duties as reasonably required

Requirements:

  • General knowledge of employee benefit programs and / or company car schemes
  • Exceptional administrative and analytical skills
  • Strong attention to detail
  • Excellent time management skills
  • Proficient in Microsoft packages, including Excel
  • Highly personable. A tenacious, resilient and a self-starter
  • Able to act on own initiative, with little supervision, but also enjoys working in a team environment
  • A keen problem solver
  • Excellent communication skills, both verbal and written
  • Professional and recognises the importance of confidentiality
  • Experience working in a HR, payroll or benefits function is preferred
  • Completed or working towards CIPD Foundation Certificate in People Practice
  • Experience administrating a wide range of employee benefits
  • Understanding of benefit in kind / managing P11Ds / Payrolling Benefits
  • Experienced in fleet administration
  • Knowledge of pensions administration processes
  • Knowledge / experience of Resource Link
  • Experience working with different combinations of terms and conditions / complex data sets
  • Experience working within a multi-subsidiary style organisation
