Job Responsibility
Attend and participate in all Operations meetings and events
Conduct regular tours of the residences and make recommendations for changes as well as note deficiencies and ensure corrective action is taken
Meet on a regular basis with all non-management employees
Develop profit improvement ideas, policies and procedures and implement them with approval of the Director of Residences
Assist in ensuring that all areas of the residences are appropriately staffed to handle demand periods and that staff are well trained, polite and conduct themselves in a professional manner
Ability to develop, with the aid of key personnel, strategies and programs to ensure attainment of the residential goals and objectives
Monitor resident satisfaction and send periodic surveys
Ensure all Four Seasons residence Policies and Procedures are followed
Conduct weekly Operations meetings to discuss operational challenges, opportunities and to improve or maintain an excellent communication flow
Monitor all standards in the residences to ensure they are in place and enforced
Implement performance planning and review all non-management personnel, according to established performance standards
Attend and participate in HOA Board Meetings
Set forth minimum acceptable standards of quality, operation and service as a benchmark point for self-measurement
Supervise all key personnel in carrying out their operating responsibilities and tasks, coordinating efforts and establishing priorities where necessary
Oversee weekly payroll practices, time off approvals, time off tracker, extra pay etc
Coordinate and manage the day-to-day operations of the residences
Ensure the facility is well maintained with respect to Housekeeping and Engineering
Oversees all resident events on amenity floor as well as in residences
Complete all purchase orders
Conduct new resident orientations
Oversee and participate in monthly safety drills and provide staff feedback
Assume Director of Residence responsibilities in the case of an absence
Actively participate in all appropriate operations committees such as Energy Conservation Program, Safety Committees, ESG, Recycling and Board of Operations meetings
Meet regularly with Hotel Food and Beverage and Spa to discuss resident engagement
Ensure hotel staff recognize residents by providing appropriate materials such as photos and names
Present residence updates to hotel management team periodically at board of operations meetings
Produce a monthly spend report and share with key hotel personnel to show progress with respect to residence spending at the hotel
Address all resident questions with respect to billing from the hotel or association
Process resident house accounts once per month and provide each resident with a statement of account
Manage the HOA billing process to include sending statements, accepting payment and monitoring account delinquencies
Ensure all invoices are paid in a timely manner and are checked for accuracy
Produce aging report for all utility accounts to all resident charges are current
Communicates all delinquencies to the HOA board for action
Assists in planning and coordinating of major projects that require unit access
Communicates progress of work concerning interior unit issues
Meet with the Human Resources Manager on a periodically to review staffing requests, morale, disciplinary situations, and residential employees
AID in the development of existing personnel and assist in the recruitment of residential employees
Respond appropriately in the event of any residential emergency or safety situation and comply with all local codes and ordinances with a focus on resident and employee safety
Represent the interests of the Residences and of its personnel in a fair, impartial and equitable manner
Conduct oneself in an ethical and exemplary manner that encourages like manner and conduct
Lead with intellectual and emotional maturity, demonstrating a personal philosophy of life and work habits, practicing consulting supervision and observing ethical business practices
Keep Residence Manager, Director, Regional leader informed about the condition of the residences and all important factors of the operation
Cooperate effectively with peers and associates sharing mutual interest, concerns, advice and specialized knowledge
Ability to convey clear instructions, guidance with proper intent to achieve a unity of purpose
The ability to establish working relationships that will attain a high level of effective executive and employee morale
Ability to represent the corporation and the residence to the public, industry and government in such a manner to enhance the reputation of the corporation, the hotel and to gain recognition for their competency and contribution
Attend functions, social and/or business, to help develop a rapport and to establish credibility within the local community and residents
Maintain a solid working relationship with the developer, hotel and residential owners
Personally meet and interact with owners, review all written owner comments and follow up on any owner service issues or needs
Display at all times a friendly, courteous and professional manner in dealing with owners, guests and other employees
Educate owners regarding their entitlements as it relates to their specific ownership and legal agreements in order to enhance their experience
Demonstrate an understanding of all legal agreements pertaining to the operation of the residence club/ private residence and HOA
Fully understand the allocation methods, budget process and financial reporting obligations, with the assistance of the Director of Finance
Participate in HOA budgeting and annual meetings
Make suggestions for improvements in overall operations with an emphasis on increasing owner satisfaction, revenue and reducing costs
Meet with Residential Finance on a monthly basis to ensure HOA fees are invoiced /collected
Control expenses based on the HOA budget
Develop and implement the Annual Residential Marketing Plan
Identify and develop yield strategies to increase residential occupancy and revenue contribution
Responsible for proposing, curating, and leading a robust and high-end calendar of events & activities designed exclusively for the residents, with the goal of creating a sense of community and a highly sought after resident lifestyle
Collaborating with major cultural institutions, celebrity chefs, curators, journalists, academics, sport and fitness professionals, fashion and luxury brands, travel professionals, and more, to seize the pulse of the destination and beyond
