Job Description

We are looking for a friendly, organised, and proactive Reservation & Events Administrator to join our team. This role is key to ensuring our customers receive outstanding service in a timely manner.

Job Responsibility

  • Answering phone calls and handling customer enquiries professionally
  • Responding to emails in a timely manner
  • Managing reservations and event bookings
  • Supporting event planning and coordination
  • Maintaining accurate records of bookings and customer interactions
  • Liaising with other team members to ensure weekend is handed over for the week ahead
  • Providing general administrative support as needed

Requirements

  • Excellent communication skills, both written and verbal
  • Strong organisational skills and attention to detail
  • Ability to multitask and work under pressure
  • Friendly and professional telephone manner
  • Experience in customer service or administration is preferred
  • Interest in events, hospitality, or the wine industry is a plus

  • Act as the key pre-arrival contact for guests, building relationships and understanding preferences
  • Coordinate personalised itineraries, estate experiences, dining reservations, transport and special requests
  • Gather guest details including dietary requirements, celebration information and stay preferences
  • Produce and manage operational documents including itineraries, rooming lists, arrival schedules and handover notes
  • Communicate guest requirements clearly to operational teams and lead briefings where required
  • Support the planning and delivery of exclusive-use stays, events and group bookings
  • Liaise with internal teams, suppliers and contractors to ensure every detail is compliant, organised and guest-ready
