The Rental Coordinator position is a critical role within the manufacturing & logistics landscape. You will be responsible for ensuring that all equipment is accounted for, scheduled correctly, and ready for our clients’ essential projects. This role requires a high degree of adaptability and a no-ego approach to teamwork. Working within a small, tight-knit branch, the Rental Coordinator must be a clear communicator who can handle the pressure of peak rental seasons while maintaining a sharp eye for detail. As a manufacturing & logistics professional, you will play a key part in the success of the local industrial and construction community by providing reliable equipment solutions.
Job Responsibility:
Coordinate all aspects of equipment rentals, including booking, scheduling, and logistics for the manufacturing & logistics division
Act as the primary point of contact for clients, providing expert advice on equipment availability and rental terms
Maintain accurate records of inventory levels and equipment status within the internal tracking system
Manage the dispatching of equipment to ensure timely delivery to various job sites across the Calgary region
Process rental contracts, invoices, and return documentation with a high level of accuracy
Collaborate closely with the service and yard teams to ensure equipment is maintained and ready for rent
Handle high volumes of calls and emails, providing professional and efficient service to all stakeholders
Resolve any client issues or discrepancies regarding rental agreements or equipment performance promptly
Support the branch manager with administrative tasks and reporting related to manufacturing & logistics performance
Ensure all safety protocols are followed and that documentation meets industry compliance standards
Requirements:
Exceptional communication skills, with the ability to interact effectively with labourers and project managers alike
Strong multitasking abilities to manage competing priorities in a high-pressure manufacturing & logistics environment
Proficiency in Microsoft Office Suite and experience with specialized rental management software
High level of attention to detail for processing complex contracts and tracking inventory
Proven problem-solving skills and the ability to think critically when logistics challenges arise
Ability to work independently, especially during the final hour of the shift, while remaining a dedicated team player
Rapid learning curve to quickly gain technical knowledge of a wide variety of industrial equipment
Resilience and the ability to maintain professionalism during stressful situations or peak periods
Minimum of 2–3 years of experience in a coordinator, dispatcher, or customer service role within the manufacturing & logistics or rental industry
Valid driver’s license and access to a reliable personal vehicle (location is not transit-accessible)
Availability to work on-site in Rocky View County from 8:00 a.m. to 5:00 p.m., Monday through Friday
A high school diploma is required
post-secondary education in logistics or business administration is considered an asset
Demonstrated ability to work in a small team environment where adaptability is key to success
Physical ability to occasionally wear PPE and enter yard areas when necessary to assist with equipment checks
Legal authorization to work in Canada for any employer
