Job Description:

This position provides technical operational and administrative support to the Relocation Manager, facilitating the smooth execution of international mobility services for employees relocating to, from, or within Italy. The role assists with managing day-to-day relocation workflows, vendor interfacing, documentation, and employee communication to ensure efficient delivery and compliance with corporate procedures.

Job Responsibility:

  • Assist the Relocation Manager in the planning and implementation of relocation programs
  • Prepare case files, reports, and status updates for ongoing mobility cases
  • Support with interpretation of relocation policies, preparation of cost estimates, and assignment documentation
  • Coordinate individual activities including home search, temporary housing, orientation, settling-in, and school search services
  • Maintain routine communication with relocated employees to ensure satisfaction and service quality
  • Escalate complex issues to the Relocation Manager and assist in implementing solutions
  • Organize and track immigration steps such as visa documentation, work permit procedures, local municipal registrations, and Codice Fiscale
  • Prepare and maintain required documentation for compliance purposes
  • Assist in Permesso di Soggiorno processes under guidance
  • Coordinate with real estate agents, relocation partners, moving companies, and other external providers
  • Schedule services and monitor vendor performance, reporting issues to management
  • Support property viewings, lease preparation, move-in/out inspections, and utility setup
  • Maintain accurate records in internal systems for relocation casework
  • Track timelines, budgets, and milestones of service delivery
  • Assist in preparing monthly reports and reviews related to invoicing and service outcomes

Requirements:

  • Experience in relocation services, HR support, mobility coordination, or customer service
  • Strong command of Italian administrative processes
  • Fluency in Italian and English with proven organizational skills and attention to technical detail
