The Records Specialist will be responsible for the day-to-day administration of records management processes, including maintaining accurate records systems, supporting retention and legal hold requirements, and ensuring consistency across internal and off-site records platforms. This role requires prior experience working within structured records environments and the ability to operate independently.
Job Responsibility:
Manage and maintain physical and electronic records in accordance with established legal and regulatory requirements
Execute records lifecycle activities, including intake, classification, storage, transfer, and disposition
Perform research to determine appropriate retention and disposition in line with firm policies
Administer and support legal hold processes and ensure proper documentation and tracking
Maintain data integrity across Records Management Systems and off-site storage vendors
Utilize RMS platforms to enter, index, update, and audit records data
Generate reports and support internal audits related to records management and compliance
Handle complex records requests and ensure accurate, timely retrieval of information
Requirements:
Bachelor’s degree required
2-3+ years of direct records management or information governance experience required
Prior experience within a law firm environment strongly preferred
Hands-on experience managing both physical and electronic records is required (not administrative exposure)
Experience with records management systems such as iManage Records Manager (IRM), FileTrail, LegalKEY, or similar
Familiarity with document management systems (iManage or NetDocuments)
Strong understanding of records retention, legal holds, and compliance standards
High level of attention to detail and accuracy in data management
Ability to work independently and manage multiple priorities in a structured environment
