Job Description

As a Records Management Specialist, you’ll support the Records Management Operations Lead within the Data Governance team. Your mission is to help manage and protect personal data, ensuring compliance with regulations and internal policies. This role focuses on data minimisation, retention, and compliance, working closely with IT, the Data Protection Office, and business teams. You’ll play a key part in embedding Data Discovery as a BAU (Business-As-Usual) service, identifying where personal data resides across our data estate, and driving best practices for data retention.

Job Responsibility

  • Data Discovery Support: Operate and report from the Data Discovery platform (e.g., BigID)
  • Process Documentation: Create clear documentation for Data Discovery processes used across departments
  • Data Analysis: Analyse outputs from Data Discovery tools and contribute to actionable insights
  • Training & Guidance: Assist in training team members to enhance technical capabilities
  • Retention Schedule Management: Maintain and improve data retention schedules
  • Repository Identification: Help identify and analyse data repositories across the organisation
  • Promote Best Practices: Advocate for data retention and minimisation across the business
  • Stakeholder Engagement: Present findings and recommendations to stakeholders confidently

Requirements

  • Familiarity with data classification tools (BigID or similar)
  • Basic understanding of data management principles and GDPR compliance
  • Strong analytical skills and attention to detail
  • Ability to problem-solve and adapt to challenges
  • Excellent stakeholder engagement and communication skills
  • Proficiency in Microsoft tools
  • Experience with BI tools is a plus
