Job Description

We are looking for an experienced Records Management Clerk to join a government organization in Kansas City, Missouri. This long-term contract position focuses on managing both physical and digital records while ensuring compliance with state and federal retention regulations. Ideal candidates will have exceptional organizational skills and a solid understanding of recordkeeping practices.

Job Responsibility

  • Organize and maintain a variety of records, including personnel files, performance evaluations, and timesheets
  • Provide training and guidance to department liaisons on recordkeeping procedures
  • Track the intake, retention, and secure disposal of records through approved vendors
  • Develop process maps to streamline recordkeeping workflows and identify qualifying records for retention or destruction
  • Ensure compliance with state and federal regulations regarding record retention
  • Manage storage solutions for physical and digital records, including coordination with external storage providers
  • Oversee secure destruction schedules and address any backlog in record disposal
  • Collaborate with team members to implement modern record management systems and tools
  • Conduct regular audits to ensure accuracy and adherence to recordkeeping standards
  • Perform detailed legal research and case management related to records when necessary

Requirements

  • Proven experience in records management, including handling physical and digital formats
  • Strong knowledge of state and federal retention regulations
  • Proficiency in document management systems and tools
  • Familiarity with secure disposal practices for sensitive records
  • Excellent organizational and time management skills
  • Ability to train and support team members in recordkeeping procedures
  • Experience in legal research or case management is a plus
  • Strong attention to detail and ability to ensure compliance with regulatory standards

  • Perform quality control, basic image enhancement, and editing. File organizational tasks
  • Create metadata according to best practices and/or Wyoming State Archives specifications. Work with archives and state agency staff to confirm assigned metadata fields

  • Log scans to track the progress of scanning tasks
