Job Responsibility:
Perform a variety of full performance level complex clerical duties as needed to expedite the receiving, documenting and processing of criminal identification and statistical information
process protective orders
Assure all hard copy files are properly updated and filed
maintain hard copy filing system of all documents received and processed by the records division
Receive telephone calls
respond to caller inquiries or route calls to knowledgeable personnel
assist the public by directing to various legal or law enforcement service providers or offices
Provide copies of various reports and documents to the public and various agencies and insurance companies
follow established procedures as needed to authorize copies issued to individuals, companies and agencies
Complete the court ordered expungement of juvenile records
Receive and process requests for copies of criminal histories
Review and evaluate civil protective orders and "No Contact" orders
determine completeness and accuracy
log and enter orders into state teletype system
assure proper preparation of documentation for service by officer
update record system showing disposition of order and service results
provide return of service to court or outside agency
Complete periodic validations to ensure the validity of the record in NCIC
Process vehicle impound sheets submitted by officers
run NCIC searches, send notices to owners or lien holders
update case status for claimed property or unclaimed
Conduct local background checks for letters of good conduct
Ability to maintain regular, reliable patterns in work product and attendance
Perform other job- related duties as assigned or required
Requirements:
Graduation from high school with course works in the fields of bookkeeping, accounting, and general office practices
Two (2) years of progressively responsible work experience performing above or related duties
Working knowledge of general office management practices and procedures of the division
state laws related to civil processes and law enforcement records keeping
basic bookkeeping and accounting
and computer terminal operation and programs unique to law enforcement records management
Skill in law enforcement records management, data entry, and interpersonal communications
Ability to develop effective working relationships with subordinates, department heads and other state officers and employees
perform basic mathematical computations
communicate effectively, verbally and in writing
operate standard office equipment
Current certifications in First Aid and CPR with periodic recertification required
Current ILETS Terminal Operator certification with periodic recertification required
