Job Description

We are seeking a professional, detail-oriented Receptionist to join our Jacksonville office. This in-person, temporary role will provide front desk and administrative support to the operations team, ensuring smooth day-to-day office functions. The ideal candidate will be highly organized, technologically proficient, and able to anticipate and respond to office needs proactively.

Job Responsibility

  • Greet and assist visitors, manage phone lines, and provide general front desk support
  • Oversee office operations including break rooms, conference rooms, and office space
  • Coordinate office supplies, restocking, and local communications
  • Support event planning, meeting setups, and multi-step administrative workflows
  • Handle mail, FedEx, and office access for employees
  • Maintain professional communication with internal teams and visitors
  • Assist with calendar management, note-taking, and agenda preparation when needed

Requirements

  • 2–3 years of administrative or receptionist experience
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Ability to anticipate needs, follow up consistently, and respond appropriately to situations

Nice to have

  • Experience managing complex calendars with shifting priorities
  • Event planning and meeting coordination experience
  • Familiarity with Adobe Creative Suite
  • Ability to take clear, actionable notes during meetings
