We are looking for a dependable Receptionist to join a CPA firm in Spartanburg, South Carolina on a contract-to-permanent basis. This position serves as the front office point of contact while supporting tax return workflow and daily administrative operations in a fast-paced, client-facing environment. The ideal candidate brings strong attention to detail, sound judgment about when to escalate questions, and a detail-oriented approach that contributes positively to a collaborative office.
Job Responsibility:
Welcome clients and visitors, manage front desk activity, and create a positive first impression for everyone entering or contacting the office
Answer and direct calls through a multi-line phone system, respond to routine inquiries, and route more complex tax or client matters to the appropriate partner or team member
Support the intake, tracking, and processing of tax returns by organizing documents accurately and helping maintain an efficient front-end workflow
Perform administrative tasks such as data entry, email correspondence, appointment scheduling, and file organization to keep daily operations running smoothly
Assist with office supply ordering and other general clerical support needed to maintain an organized and productive workplace
Use discretion when assisting clients by recognizing when a request should be handled by a senior team member or partner
Provide dependable coverage during busy tax season, including a willingness to work additional hours or occasional weekend time when needed
Move throughout the office frequently to manage documents, coordinate workflow, and support high-volume periods effectively
Requirements:
Previous experience in reception, administrative support, customer service, banking, education, or a detail-focused office environment
Strong attention to detail with the ability to handle document-heavy work accurately and consistently
Detail-focused demeanor and presentation suited for a client-facing role
Reliable attendance and the ability to maintain steady performance during peak tax season demands
Comfortable working in a quieter shared office setting with respectful and effective communication
Basic proficiency with Microsoft Word, Excel, and Outlook, along with confidence in data entry and email communication
Ability to learn tax-related administrative processes, including handling documents such as tax forms or power of attorney paperwork
