We are looking for a dedicated Receptionist to join our healthcare team in Port Jefferson Station, New York. In this active and dynamic office environment, you will play a vital role in supporting children with specialized needs. This is a long-term contract position, offering an opportunity to make a meaningful impact while utilizing your administrative and communication skills.
Job Responsibility:
Serve as the first point of contact by welcoming visitors and answering inquiries both in-person and over the phone
Manage multi-line phone systems, including handling inbound calls and routing them appropriately
Provide accurate translations and communication support in Spanish when necessary
Maintain an organized reception area and ensure all administrative tasks are completed efficiently
Support office operations by scheduling appointments and managing calendars
Assist with general administrative duties, including data entry and document preparation
Foster a welcoming and detail-oriented environment for clients, staff, and visitors
Collaborate with team members to ensure smooth daily operations in a lively and fast-paced setting
Uphold confidentiality and maintain a detail-oriented approach when handling sensitive information
Address and resolve any immediate issues or concerns raised by clients or visitors
Requirements:
Minimum of 2 years of experience in a receptionist or administrative role
Proficiency in handling multi-line phone systems and switchboards with up to 10 lines
Strong verbal and written communication skills, including fluency in Spanish for translation purposes
Ability to manage inbound calls and provide excellent customer service
Exceptional organizational skills and attention to detail
Comfortable working in a fast-paced, active office environment
High level of professionalism and ability to maintain confidentiality
