Job Responsibility
Serve as the first point of contact for visitors, clients, board members, and community partners
Answer and direct incoming phone calls with professionalism and warmth
Greet guests and ensure a positive and welcoming experience
Provide administrative support to the Executive Assistant and office leadership
Maintain and update spreadsheets and organizational records
Assist with document preparation, electronic signatures, and general office coordination
Support meetings and special events, including monthly board meetings attended by influential community leaders and stakeholders
Handle a variety of administrative projects and day-to-day office responsibilities
Requirements
Previous receptionist, administrative assistant, front desk, or customer service experience
Professional communication skills, both in person and over the phone
Strong organizational skills and attention to detail
Intermediate Microsoft Excel skills, including navigating and updating existing spreadsheets
Ability to multitask and work effectively in a fast-paced office environment
Previous experience in a receptionist, front desk, or administrative support role
Intermediate proficiency with Microsoft Word and Microsoft Excel, along with general familiarity with Office 365 tools
Strong verbal and written communication skills with the ability to interact effectively with staff, visitors, and community contacts
Demonstrated attention to detail and the ability to maintain accurate records and reports
Ability to manage multiple tasks at once while staying organized in a fast-paced office setting
Comfortable working onsite Monday through Friday in a team-oriented environment
Detail-focused demeanor and a service-focused approach when handling calls, visitors, and routine office needs
Nice to have
Experience with DocuSign is a plus
