We are looking for a detail-oriented and friendly Receptionist to join our team in Woodcliff Lake, New Jersey. This Contract to permanent position requires an individual who excels in customer service and possesses exceptional organizational skills. As the first point of contact, you will play a key role in ensuring smooth daily operations while providing outstanding support to both staff and visitors.
Job Responsibility:
Greet visitors warmly and courteously, ensuring a positive first impression
Answer and manage a multi-line phone system, directing calls to the appropriate departments
Maintain and organize files and records to ensure easy access and retrieval
Handle email correspondence promptly and efficiently, addressing inquiries and forwarding messages as needed
Schedule appointments and coordinate meeting arrangements for staff and clients
Perform data entry tasks with accuracy, updating and maintaining relevant databases
Utilize Microsoft Word, Excel, and Outlook to complete administrative tasks and documentation
Assist with general receptionist duties, including managing the front desk and providing support to team members
Ensure the reception area remains tidy and presentable at all times
Provide excellent customer service to visitors and staff, addressing needs and resolving issues effectively
Requirements:
Proven experience working as a receptionist or in a similar front desk role
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook
Strong organizational skills with the ability to manage multiple tasks efficiently
Exceptional customer service skills and a detail-oriented demeanor
Ability to operate and manage a multi-line phone system
Excellent verbal and written communication skills
High level of accuracy and attention to detail in data entry and record management
Strong interpersonal skills and the ability to interact effectively with diverse groups of people
