We are seeking a reliable and professional Receptionist to join our client's team in Portland, OR. This is a fully on-site position. This role is responsible for greeting visitors, answering and directing incoming calls and emails, scheduling appointments, maintaining front desk organization, and providing general administrative support such as data entry, filing, and document preparation. The ideal candidate has strong communication and customer service skills, is proficient with basic office software, and can multitask effectively while supporting daily office operations.
Job Responsibility:
Manage a multi-line phone system to answer, direct, and transfer inbound calls promptly and courteously
Greet and assist visitors, ensuring a positive and attentive experience
Handle incoming inquiries and provide accurate information or direct them to the appropriate department
Maintain the reception area, keeping it organized and presentable at all times
Support administrative tasks such as scheduling appointments, filing, and data entry
Coordinate with other departments to ensure seamless communication and workflow
Monitor and distribute incoming mail and deliveries efficiently
Uphold confidentiality and discretion when handling sensitive information
Provide part-time receptionist duties, ensuring coverage during high-demand periods
Assist with other duties as needed to support office operations
Requirements:
At least 1 year of experience in a receptionist or similar role
Proficiency in managing a multi-line phone system or switchboard with up to 10 lines
Strong interpersonal skills with the ability to communicate clearly and professionally
Ability to handle inbound calls and inquiries with efficiency and courtesy
Organizational skills to maintain a well-functioning and tidy reception area
Flexibility to work part-time hours as needed
Attention to detail and accuracy in performing administrative tasks
Dependability and a proactive approach to supporting team and office needs
