We are looking for a detail-oriented and dependable Receptionist to support daily front-office operations in Portland, Maine. This is a contract opportunity with the potential for a permanent position for someone who enjoys working in a permanent, onsite role and wants to build a long-term career in a close-knit office setting. The right person will be adaptable, organized, and eager to expand their knowledge by assisting with a variety of administrative functions across the business.
Job Responsibility:
Welcome visitors and create a positive first impression by managing the front desk with courtesy and efficiency
Handle incoming calls through a multi-line phone system, direct inquiries to the appropriate team members, and take accurate messages when needed
Provide day-to-day administrative support such as preparing documents, managing office correspondence, and assisting with general clerical tasks
Coordinate routine office activities to help maintain an organized and efficient onsite work environment
Adjust priorities throughout the day to respond to changing business needs and urgent requests
Learn additional responsibilities across different areas of the office to provide flexible support where needed
Maintain accurate records, track information, and ensure documents are filed or distributed appropriately
Requirements:
Previous experience in a receptionist, front desk, or administrative support position
Comfortable managing a multi-line phone system and handling a high volume of inbound calls
Strong verbal and written communication skills with a detail-oriented and welcoming demeanor
Ability to stay organized, manage multiple tasks, and shift priorities in a fast-paced office environment
Proficiency with general administrative duties, including data entry, document preparation, and office coordination
Willingness to learn new processes, take on cross-functional tasks, and grow within a small office setting
Availability to work onsite Monday through Friday during standard business hours
