Job Description:

We are looking for a detail-oriented and organized Receptionist to join our growing team in Charlotte, North Carolina. This is a Contract to permanent position, offering an excellent opportunity for someone who thrives in a fast-paced environment and enjoys providing exceptional support. The role is ideal for a self-starter who can utilize available resources effectively and contribute to the smooth operation of our office.

Job Responsibility:

  • Greet and assist visitors with courtesy and professionalism, ensuring a welcoming atmosphere at the front desk
  • Manage incoming calls using a multi-line phone system, routing them to the appropriate department or individual
  • Provide support to case managers by handling overflow tasks and answering basic client inquiries once trained
  • Maintain and organize office files and documentation, ensuring easy accessibility for staff
  • Utilize company manuals and resources to independently resolve issues and complete tasks efficiently
  • Perform data entry tasks with accuracy, ensuring all records are up-to-date and well-organized
  • Handle email correspondence promptly, ensuring clear communication with clients and team members
  • Collaborate with the firm’s call center to ensure seamless routing of inquiries to the correct office
  • Adhere to business casual dress code, with relaxed attire permitted on Fridays
  • Participate in virtual meetings with team members to stay updated on office procedures and priorities

Requirements:

  • Previous experience in a law firm setting preferred
  • Strong customer service skills with the ability to communicate effectively and professionally
  • Proficiency in data entry and maintaining accurate records
  • Familiarity with email correspondence and Microsoft Outlook for efficient communication
  • Competence in using Microsoft Word for document preparation and editing
  • Excellent organizational skills to manage files and resources effectively
  • Self-motivated and capable of working independently with minimal supervision
  • Strong interpersonal skills to interact confidently with clients and team members
