Job Description

To provide a friendly, professional, and efficient receptionist service, primarily based at our Liverpool office, with occasional cover required at our Birkenhead office, responding to internal and external enquiries in a helpful and timely manner.

Job Responsibility

  • Answer and screen incoming calls, consistently delivering a positive and professional client experience
  • Greet all visitors, providing a warm and welcoming front‑of‑house service to Carpenters Group
  • Manage the internal diary system for all meeting rooms across the business
  • Coordinate meeting requests and allocate appropriate meeting rooms accordingly
  • Monitor and manage the reception email inbox, redirecting enquiries to the appropriate departments
  • Ensure meeting rooms are maintained to a high standard and set up in line with meeting requirements
  • Arrange lunch orders and refreshments for meetings as required
  • Coordinate transport arrangements for external clients and visitors
  • Provide daily visitor information and updates to the Management Team
  • Input and maintain client satisfaction questionnaire data accurately
  • Act as a key liaison point between clients, visitors, and internal colleagues
  • Support the Facilities team with ad‑hoc duties as required
  • Ensure all principal accountabilities of the role are met effectively
  • Deal with all matters efficiently, demonstrating a proactive and professional approach at all times

Requirements

  • Previous experience working in a busy environment, handling a high volume of incoming calls
  • Good IT skills, with a sound working knowledge of Solcase or a similar case management system, alongside essential Microsoft Office proficiency
  • Excellent time management and organisational skills, with a calm, methodical approach to work and a flexible, adaptable attitude to resolving issues
  • Strong communication and interpersonal skills
  • The ability to ask clear and concise questions to accurately establish the nature of customer enquiries
  • The ability to work effectively both as part of a team and on one’s own initiative
