To provide a friendly, professional, and efficient receptionist service, primarily based at our Liverpool office, with occasional cover required at our Birkenhead office, responding to internal and external enquiries in a helpful and timely manner.
Job Responsibility:
Answer and screen incoming calls, consistently delivering a positive and professional client experience
Greet all visitors, providing a warm and welcoming front‑of‑house service to Carpenters Group
Manage the internal diary system for all meeting rooms across the business
Coordinate meeting requests and allocate appropriate meeting rooms accordingly
Monitor and manage the reception email inbox, redirecting enquiries to the appropriate departments
Ensure meeting rooms are maintained to a high standard and set up in line with meeting requirements
Arrange lunch orders and refreshments for meetings as required
Coordinate transport arrangements for external clients and visitors
Provide daily visitor information and updates to the Management Team
Input and maintain client satisfaction questionnaire data accurately
Act as a key liaison point between clients, visitors, and internal colleagues
Support the Facilities team with ad‑hoc duties as required
Ensure all principal accountabilities of the role are met effectively
Deal with all matters efficiently, demonstrating a proactive and professional approach at all times
Requirements:
Previous experience working in a busy environment, handling a high volume of incoming calls
Good IT skills, with a sound working knowledge of Solcase or a similar case management system, alongside essential Microsoft Office proficiency
Excellent time management and organisational skills, with a calm, methodical approach to work and a flexible, adaptable attitude to resolving issues
Strong communication and interpersonal skills
The ability to ask clear and concise questions to accurately establish the nature of customer enquiries
The ability to work effectively both as part of a team and on one’s own initiative
