We are looking for a detail-oriented and organized Receptionist to join our team in Grand Rapids NT, Michigan. You will play a vital role in ensuring smooth communication, efficient scheduling, and a welcoming environment for clients and staff.
Job Responsibility:
Greet and assist visitors, ensuring a warm and attentive reception experience
Manage incoming calls using a multi-line switchboard, directing inquiries to the appropriate departments
Organize and maintain filing systems to ensure easy access and accurate record-keeping
Schedule and manage appointments using calendar software to optimize daily operations
Perform data entry tasks with a high level of accuracy and attention to detail
Support educational classes held 10 times per year, including attendee check-in, classroom setup, and teardown
Monitor office supplies and coordinate replenishments as needed
Collaborate with team members to ensure efficient communication and workflow within the office
Requirements:
Proven experience in receptionist or administrative roles, preferably in a detail-oriented office environment
Proficiency in operating multi-line phone systems and handling high call volumes
Strong organizational and time-management skills for effective appointment scheduling
Familiarity with computer applications, including word processing and scheduling software
Attention to detail and accuracy in data entry tasks
Ability to manage filing systems and maintain confidentiality of sensitive information
Excellent interpersonal and communication skills to interact with clients and staff
Flexibility to attend and assist with educational events outside regular office hours
