We are looking for an early career Receptionist to support daily front desk operations for a Private Equity firm located in Santa Monica. This permanent, in-office opportunity is ideal for someone who creates a welcoming first impression while keeping administrative activities organized and running smoothly. The role will work closely with Human Resources and internal staff to coordinate visitors, office services, and routine operational support in a detail-oriented environment. This is perfect for a recent grad who is entering the workforce. Bachelor's Degree is required.
Job Responsibility:
Welcome clients, guests, and other visitors with a detail-oriented and service-oriented approach from the moment they arrive
Oversee front entrance activity by managing visitor access, sign-in procedures, and badge distribution in accordance with office protocols
Communicate guest arrivals promptly to the appropriate employees so meetings and appointments stay on schedule
Keep the reception space orderly, well-maintained, and ready to receive visitors throughout the business day
Provide day-to-day administrative support such as maintaining office supplies, arranging deliveries, and coordinating with building personnel when needed
Organize meeting spaces by handling room scheduling and preparing conference areas for internal discussions and client-facing gatherings
Process incoming mail, outgoing shipments, and courier packages with accuracy and timeliness
Contribute to additional office and operational assignments, including special projects, as business needs arise
Requirements:
Bachelor's degree required
Strong verbal and written communication skills with the ability to interact professionally with visitors and colleagues
Excellent organizational skills and close attention to detail in a fast-paced office setting
Proven ability to handle sensitive information with discretion, sound judgment, and integrity
Self-directed work style with dependable follow-through and the ability to complete tasks independently
Working knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
Ability to manage multiple priorities, adjust to changing needs, and meet deadlines effectively
Creative problem-solving skills and a proactive approach to supporting office operations
