Job Responsibility
Welcome parents, children, staff, and visitors while following established office and building procedures
Answer and direct incoming calls through a multi-line phone system with professionalism and efficiency
Prepare, edit, and format correspondence, reports, and other documents using Microsoft Office applications
Receive, record, sort, and distribute incoming mail and other delivered materials accurately
Maintain tracking logs for documents and ensure information reaches the appropriate team members promptly
Monitor office supplies and equipment, including replenishing materials and coordinating orders when needed
Keep the front desk and reception area clean, orderly, and ready to receive guests at all times
Assist with meetings by organizing agendas, compiling handouts, and distributing minutes or related materials
Provide administrative support to managers and supervisors across a variety of day-to-day office tasks
Handle sensitive information with discretion and interact respectfully with children, families, and colleagues
Requirements
Prior experience in a receptionist, front-desk, or administrative support role is preferred
Ability to manage a multi-line phone system and handle inbound calls in a courteous manner
Working knowledge of Microsoft Office, including Word, Excel, and Outlook
Strong written and verbal communication skills with a customer-service approach and close attention to detail
Excellent organizational skills with close attention to detail and accuracy
Ability to maintain confidentiality and work effectively with individuals from diverse backgrounds
Comfortable multitasking and staying organized in a fast-paced office setting
