We are looking for a detail-oriented Receptionist to join our team in Irvine, California. In this contract position, you will serve as the first point of contact, ensuring smooth communication and efficient handling of administrative tasks. This role requires excellent organizational skills and the ability to manage multiple priorities effectively.
Job Responsibility:
Greet visitors and clients warmly, ensuring a welcoming atmosphere
Answer and manage a multi-line phone system, directing calls to the appropriate departments
Handle sensitive and confidential documents with discretion and accuracy
Coordinate with managers and clients to address any issues related to deadlines or tasks
Assist in completing assigned projects and administrative duties as needed
Manage inbound calls efficiently, providing accurate information and support
Maintain the reception area, ensuring it is clean and organized
Support the team with general office services and operational needs
Record and relay messages accurately to the respective recipients
Provide assistance with scheduling and appointment management when required
Set up and break down conference rooms
Manage inventory and supply stocking
Answer phones and book conference rooms
Support frequent onsite events
Requirements:
At least one year of experience in office services, preferably in legal, banking, or large corporate environments
Prior experience as a receptionist, switchboard operator, or administrative assistant is preferred
Strong verbal and written communication skills
Ability to operate and manage a multi-line phone system effectively
Proficient in handling inbound calls and providing excellent customer service
Detail-oriented with excellent organizational skills
Ability to handle confidential information with professionalism and discretion
Comfortable working in a fast-paced environment and managing multiple priorities
