Job Responsibility:
Answering and directing incoming calls promptly and professionally
Greeting and assisting visitors, customers and contractors in a welcoming and helpful manner
Ensuring messages are recorded accurately and relayed to the appropriate team members without delay
Sorting and distributing incoming mail and packages efficiently
Preparing outgoing mail and coordinating courier services as required
Maintaining and order office and stationery supplies
Managing and organising meeting room bookings
Ensuring the reception area, meeting rooms and common spaces are tidy and presentable
Managing calendar, shared inbox's and workflow database (ClickHome)
Customer portal uploads
The sales administration paperwork is managed, actioned & correct
Booking of contract & colour appointments within 48 hours of applicable paperwork being received
Building contract preparation and creation 1 week prior to appointments
Coordinating office maintenance requests and ensure timely resolution
Monitoring and maintaining kitchen areas, including stock replenishment and cleanliness
Assisting internal teams with administrative tasks as required
Maintaining accurate records, including supplier contacts, visitor logs, and reception documentation
Providing support for company events, as needed
Following company health and safety policies and procedures
Identifying and reporting workplace hazards or incidents to management
Maintaining a safe and compliant work environment
Requirements:
Previous experience in a reception, front desk, customer service or administrative role
Experience in a customer-facing position is advantageous
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Understanding of office operations, administrative processes, and telephone systems
Professional and friendly demeanour with a customer-service mindset
Strong organisational and multitasking skills
Excellent verbal and written communication abilities
Ability to remain composed and handle challenging situations with professionalism
High attention to detail and accuracy in administrative tasks
