Global investment firm located in Midtown, Manhattan is seeking to hire a Long Term Temporary Receptionist to act as one of two points of contact upon office entry for an open ended assignment. The ideal candidate will have previous office experience and a can-do attitude. Day to day the receptionist will answer phones, greet visitors, manage conference rooms, handle mail and other ad hoc projects as needed. You will work closely with the Global Head of Facilities to help with scheduling, some travel and expenses. One must be a team player and willing to chip in as needed, have great MS Office skills including Word, Excel and Outlook, and 6 + months of office experience in a similar, fast paced environment. This role requires 5 days/week on-site and hours vary from 8/9am – 5/6pm, flexibility is required.
Job Responsibility:
Manage 20+ conference rooms
including troubleshooting last-minute conflicts, in-person and virtual meeting set-ups, and tidying space after meetings conclude
Enter office visitors into security
greets visitors and manages their time throughout office
includes providing refreshments, directions, and ad-hoc assistance
Creates FedEx labels and organizes messenger services, and works alongside Facilities team to log and distribute packages
Answer phones
direct requests to appropriate party
Provide coverage to assistants when they are out of office and maintain expense reports and travel bookings for junior Investment Professionals
Requirements:
Degree is required
