Job Description:

The Receptionist will be the initial point of contact for visitors and callers, ensuring a detail-oriented and warm reception. The role involves managing the reception area, handling communication, and assisting with administrative tasks. This position is located in the Finance Consulting industry and requires a diverse skill set to manage front desk operations, communication, and clerical duties efficiently.

Job Responsibility:

  • Ensure the reception area is kept tidy and welcoming
  • efficiently handle incoming and outgoing mail
  • manage appointment schedules efficiently
  • respond to and direct incoming calls appropriately
  • assist in administrative tasks including data entry and document organization
  • direct visitors to the appropriate staff members
  • keep track of office supplies and reorder when necessary
  • maintain accurate records by filing documents appropriately

Requirements:

  • Proven experience in receptionist duties, including managing front desk operations and greeting visitors
  • proficiency in answering inbound calls, transferring calls to appropriate departments and taking accurate messages
  • ability to direct visitors efficiently and professionally to the correct department or individual
  • familiarity with finance consulting industry, understanding its unique needs and demands
  • excellent communication skills, both written and verbal, to interact with clients, staff, and management
  • strong organizational skills to manage multiple tasks and high volume of calls and visitors
  • proficiency in using office equipment such as computer, printer, fax machine, and telephone systems
  • ability to maintain confidentiality of sensitive financial information
  • proficiency in Microsoft Office Suite, especially Word, Excel and Outlook
  • willingness to learn new software systems related to finance consulting industry
  • high school diploma or equivalent
  • further training in Office Administration or Customer Service would be a plus
