Our company is seeking a friendly and highly organized Receptionist to be the first point of contact for clients, visitors, and staff at our busy business services office in Hawaii. As a receptionist, you will play a crucial role in creating a welcoming atmosphere and ensuring smooth office operations.
Job Responsibility:
Greet and welcome clients, visitors, and staff in a professional and courteous manner
Answer multi-line phone systems, manage incoming calls, and direct them to the appropriate departments or individuals
Maintain the reception area to ensure it is tidy, organized, and welcoming
Receive, sort, and distribute mail, packages, and deliveries
Assist with scheduling appointments, managing meeting room bookings, and coordinating daily activities
Provide general administrative support, including copying, scanning, filing, and data entry
Handle confidential information with discretion and professionalism
Assist with office supply inventory and order replenishments as needed
Support the team with special projects and other assigned tasks as required
Requirements:
High school diploma or equivalent required
Previous experience as a receptionist or in a customer-facing administrative role preferred
Proficient in answering phones and managing multi-line phone systems
Strong verbal and written communication skills
Excellent organizational and multitasking abilities
Professional demeanor and commitment to providing exceptional customer service
Comfortable with Microsoft Office applications (Word, Outlook, Excel) and office equipment
Ability to maintain composure and professionalism in a fast-paced environment
