Job Responsibility:
Welcome guests courteously, assist with check-in, and ensure visitors are directed to the appropriate staff or meeting areas
Manage a multi-line phone system by answering incoming calls promptly, routing them accurately, and taking clear messages when needed
Coordinate calendars and arrange appointments to support efficient scheduling across the office
Handle email communication in a timely and thorough manner, responding to inquiries or forwarding requests to the right contacts
Perform data entry with accuracy and maintain organized digital and physical filing systems for easy record retrieval
Support day-to-day administrative activities using Microsoft Word, Excel, and Outlook to prepare documents, track information, and manage correspondence
Provide courteous customer service to employees, guests, and external contacts while maintaining a welcoming front desk presence
Requirements:
3+ years of experience in a receptionist or front desk support role
Proven ability to operate a multi-line telephone system and manage call transfers efficiently
Strong customer service and interpersonal skills with a detail-oriented and approachable demeanor
Experience with data entry and file organization, with close attention to accuracy and detail
