We are looking for an experienced and dependable Receptionist to support daily front desk operations for a non-profit organization in Sarasota, Florida. This Long-term Contract position is ideal for someone who enjoys creating a welcoming environment, managing a high volume of calls, and keeping the front office running smoothly. The person in this role will serve as a key point of contact for visitors and callers while handling administrative tasks that help the office stay organized and responsive.
Job Responsibility
Welcome visitors and respond to incoming calls with professionalism, tact, and a service-focused approach
Manage a multi-line phone system efficiently, ensuring calls are answered promptly and directed to the appropriate staff members
Maintain continuous front desk coverage during business hours and help open and close public access according to established schedules
Keep the reception and lobby areas neat, orderly, and presentable throughout the day
Use internal office software and messaging tools to support communication and daily workflow coordination
Complete routine administrative support tasks, including copying, scanning, printing, and preparing documents
Accept client restitution payments accurately and provide printed receipts as needed
Assemble morning briefing materials and distribute prior-day paperwork to the appropriate caseworkers before the office opens
Monitor visitor flow by asking guests to remain in the lobby until the appropriate team member is available to escort or receive them
Carry out additional front office and clerical duties as assigned to support departmental needs
Requirements
Previous experience in a receptionist, front desk, or administrative support role
Ability to handle inbound calls on a multi-line phone system with accuracy and professionalism
Strong interpersonal skills with a consistent commitment to courtesy, respect, and confidentiality
Comfortable using standard office equipment, including copiers, scanners, and printers
Basic computer proficiency and the ability to learn organization-specific software and internal messaging systems
Strong organizational skills with the ability to manage recurring tasks and maintain an orderly reception area
Reliable attendance and the ability to maintain front desk coverage during scheduled hours
