Job Description:

We are looking for a skilled Receptionist to join the team or an Architectural firm in Honolulu, Hawaii. This is a contract Receptionist position ideal for someone who thrives in a dynamic environment and enjoys providing excellent administrative support. The Receptionist role requires strong organizational skills and proficiency in office software to ensure smooth daily operations. Job Responsibility:

  • Greet and assist visitors and clients in a courteous and welcoming manner
  • manage incoming calls and direct them to the appropriate departments or individuals
  • organize and maintain filing systems to ensure easy access to documents
  • handle email correspondence and ensure timely responses to inquiries
  • prepare and edit documents using Microsoft Word and Excel
  • schedule appointments and maintain calendars for staff members
  • coordinate office supplies and ensure inventory is adequately stocked
  • use Microsoft Outlook to manage communication and scheduling effectively
  • support administrative tasks to facilitate smooth office operations
  • collaborate with team members to address any operational needs.

Requirements:

  • Proficiency in basic office skills, including filing and organization
  • experience using Word and Excel for document preparation and data management
  • familiarity with email platforms and the ability to manage correspondence efficiently
  • competence in using Outlook for scheduling and communication
  • strong interpersonal skills to interact effectively with clients and colleagues
  • ability to multitask and prioritize tasks in a fast-paced environment
  • detail-oriented mindset to ensure accuracy in administrative work
  • prior experience in a receptionist or similar administrative role is preferred.
