Job Description

We are looking for an experienced Receptionist to serve as the first point of contact for a construction and contractor organization in Indianapolis, Indiana. This contract-to-permanent position is ideal for someone who enjoys creating a welcoming office environment while keeping front-desk operations organized and efficient. The role requires strong communication skills, confidence handling a multi-line phone system, and the ability to support daily administrative activities with accuracy and consistency.

Job Responsibility

  • Welcome visitors, clients, and vendors in a courteous manner and ensure they are directed to the appropriate contacts or meeting areas
  • Manage a multi-line switchboard by answering, screening, and routing incoming calls promptly while taking accurate messages when needed
  • Maintain an orderly front office by overseeing general reception activities and helping create a positive first impression for the organization
  • Provide administrative support through routine office tasks such as preparing documents, updating records, and assisting with correspondence
  • Use Microsoft Word and Excel to create, edit, and organize basic business documents, logs, and reports
  • Assist with printed and visual materials by making basic updates or edits using Adobe InDesign when requested
  • Coordinate incoming and outgoing mail, deliveries, and other front-desk communications to support daily office operations

Requirements

  • Prior experience in a receptionist, front desk, or office support role
  • Working knowledge of basic office procedures and general administrative practices
  • Proficiency with Microsoft Word and Microsoft Excel for everyday office tasks
  • Experience operating a switchboard or multi-line phone system with 10 to 30 lines
  • Familiarity with Adobe InDesign for simple document or layout updates
  • Strong verbal and written communication skills with a detail-oriented and customer-focused approach
  • Ability to stay organized, manage multiple tasks, and maintain accuracy in a busy office setting
