Job Description:

This position is ideal for someone with a background in probate, MassHealth processes, or elder law, who thrives in a client-focused environment. The role combines administrative duties with legal support tasks, requiring excellent attention to detail and a meticulous demeanor.

Job Responsibility:

  • Handle incoming calls, manage attorney schedules, and coordinate appointments efficiently
  • Welcome clients warmly, gather intake information, and ensure a well-managed front office experience
  • Organize mail, scan and file documents, and maintain both electronic and physical records
  • Assist attorneys with drafting and filing probate court documents, including petitions, notices, and inventories
  • Support estate administration by collecting asset details, liaising with financial institutions, and organizing relevant documentation
  • Prepare drafts for estate planning documents, such as wills, powers of attorney, and healthcare proxies, as directed
  • Monitor deadlines for probate filings, client follow-ups, and estate-related milestones
  • Facilitate MassHealth applications by gathering necessary documentation and communicating with caseworkers and agencies
  • Provide assistance with long-term care applications, ensuring all required verifications and documents are organized
  • Maintain clear communication with third-party providers, ensuring thorough and respectful interactions

Requirements:

  • Previous experience in Trusts & Estates, Probate, or Elder Law is strongly preferred
  • Knowledge of MassHealth applications or estate administration processes is a plus
  • Exceptional organizational skills and the ability to prioritize multiple tasks effectively
  • Strong interpersonal skills and the ability to communicate empathetically with clients
  • Proficiency in Microsoft Office and familiarity with legal practice management software
  • Ability to handle sensitive information with the utmost confidentiality and discretion
  • Detail-oriented mindset with a commitment to accuracy in all tasks
  • Experience with WealthCounsel, HotDocs, or similar legal software is advantageous
