The Administrative Assistant and Receptionist plays a key role in the smooth day-to-day operations for our client in Ville Saint Laurent. As a primary point of contact for employees, visitors, and vendors, this role helps create a welcoming, professional, and well-organized work environment. The Receptionist Assistant provides administrative and logistical support and ensures efficient coordination of various internal office services.
Job Responsibility:
Welcome visitors, answer incoming calls, and provide professional and friendly customer service
Support day-to-day office operations to maintain a well-organized and efficient work environment
Respond to requests from employees and managers and ensure timely follow-ups
Coordinate conference room availability, reservations, and usage
Organize catering requests and coordinate coffee services and related needs, including those for there clients
Ensure office equipment is operating properly and report any issues as needed
Manage office supply inventory and place orders when required
Receive, distribute, and track mail and shipments, including organizing Purolator
Handle maintenance requests through the ticketing system and follow up with vendors until resolved
Scan receipts required for corporate credit card reconciliation
Provide general administrative support as needed
Manage inventory and orders (stationery, fruit/IGA, flowers, and miscellaneous supplies)
Maintenance logistics: Act as the main point of contact for repair
Requirements:
Relevant experience in reception, administrative support, or office coordination
Excellent customer service and communication skills
Strong organizational skills with attention to detail
Ability to multitask, prioritize, and work effectively in a fast-paced environment
Proactive, resourceful, and solution-oriented approach
Bilingualism required: Proficiency in English is necessary due to the nature of interactions with pan-Canadian partners who are predominantly English-speaking
Proficiency with Office 365
What we offer:
Schedule: Monday to Friday, 8:00 a.m. to 5:00 p.m. (40 hours/week)
