Job Description:

The Administrative Assistant and Receptionist plays a key role in the smooth day-to-day operations for our client in Ville Saint Laurent. As a primary point of contact for employees, visitors, and vendors, this role helps create a welcoming, professional, and well-organized work environment. The Receptionist Assistant provides administrative and logistical support and ensures efficient coordination of various internal office services.

Job Responsibility:

  • Welcome visitors, answer incoming calls, and provide professional and friendly customer service
  • Support day-to-day office operations to maintain a well-organized and efficient work environment
  • Respond to requests from employees and managers and ensure timely follow-ups
  • Coordinate conference room availability, reservations, and usage
  • Organize catering requests and coordinate coffee services and related needs, including those for there clients
  • Ensure office equipment is operating properly and report any issues as needed
  • Manage office supply inventory and place orders when required
  • Receive, distribute, and track mail and shipments, including organizing Purolator
  • Handle maintenance requests through the ticketing system and follow up with vendors until resolved
  • Scan receipts required for corporate credit card reconciliation
  • Provide general administrative support as needed
  • Manage inventory and orders (stationery, fruit/IGA, flowers, and miscellaneous supplies)
  • Maintenance logistics: Act as the main point of contact for repair

Requirements:

  • Relevant experience in reception, administrative support, or office coordination
  • Excellent customer service and communication skills
  • Strong organizational skills with attention to detail
  • Ability to multitask, prioritize, and work effectively in a fast-paced environment
  • Proactive, resourceful, and solution-oriented approach
  • Bilingualism required: Proficiency in English is necessary due to the nature of interactions with pan-Canadian partners who are predominantly English-speaking
  • Proficiency with Office 365
