Job Description

We are looking for a detail-oriented and personable Receptionist/Administrative Assistant to join our team in Tucson, Arizona. This Contract to permanent position offers an opportunity to contribute to the smooth operations of our office by providing exceptional administrative support and ensuring a welcoming environment for visitors and staff. The ideal candidate will excel at multitasking and bring a proactive approach to daily responsibilities.

Job Responsibility

  • Welcome and assist visitors, clients, and guests while maintaining a detail-oriented and inviting reception area
  • Manage incoming and outgoing mail and packages, including coordinating courier services when necessary
  • Monitor and replenish office and kitchen supply inventory, ensuring stock levels are adequate
  • Perform administrative tasks such as data entry, filing, scanning, photocopying, and document organization
  • Schedule appointments, meetings, and maintain calendars to support smooth operations
  • Prepare correspondence, reports, and expense reimbursements as needed
  • Arrange travel plans including flights, accommodations, and transportation for brokers, demonstrating strong organizational skills
  • Maintain cleanliness and organization of front desk and common office areas
  • Provide additional clerical and operational support as required to ensure efficient daily functions

Requirements

  • Experience managing receptionist duties, including greeting visitors and handling multi-line phone systems
  • Proficiency in answering inbound calls and managing switchboards with up to 10 lines
  • Skilled in data entry, filing, and maintaining organized records
  • Familiarity with Microsoft Excel for administrative tasks
  • Strong ability to multitask and prioritize assignments effectively
  • Excellent communication and interpersonal skills to interact professionally with staff and clients
  • Previous experience coordinating travel arrangements is highly preferred
  • Detail-oriented with a proactive approach to maintaining office operations
