Job Description:

We are looking for an experienced Receptionist / Administrative Assistant to join our team in Houston, Texas. This role is integral to ensuring smooth daily operations and providing exceptional support to both staff and visitors. Job Responsibility:

  • Schedule and organize meetings, interviews, and other events to ensure efficient planning and execution
  • Leverage advanced Excel functionalities, including Pivot Tables, to analyze and present data effectively
  • Address and resolve minor technical issues, coordinating with IT support when necessary
  • Maintain a welcoming and organized reception area that aligns with the company’s brand image
  • Offer administrative support to various departments to facilitate smooth day-to-day operations
  • Manage calendars and coordinate appointments with accuracy and attention to detail
  • Assist with preparing reports and documents using Microsoft Office Suite tools
  • Handle incoming calls and correspondence, ensuring timely and accurate responses
  • Ensure compliance with federal grant-related documentation and administrative processes
  • Collaborate with team members to streamline workflows and improve overall efficiency

Requirements:

  • Minimum of 5 years of experience in a receptionist or administrative role
  • Advanced proficiency in Microsoft Excel, including the ability to create Pivot Tables
  • Strong organizational and multitasking abilities with a proactive approach to problem-solving
  • Excellent written and verbal communication skills
  • Familiarity with scheduling tools such as Microsoft Outlook
  • Ability to troubleshoot basic technical issues independently or escalate as needed
  • Experience managing federal grant documentation and processes is preferred
  • Proven ability to work collaboratively in a team-oriented environment
