We are looking for an experienced Receptionist / Administrative Assistant to join our team in Houston, Texas. This role is integral to ensuring smooth daily operations and providing exceptional support to both staff and visitors. Job Responsibility:
Schedule and organize meetings, interviews, and other events to ensure efficient planning and execution
Leverage advanced Excel functionalities, including Pivot Tables, to analyze and present data effectively
Address and resolve minor technical issues, coordinating with IT support when necessary
Maintain a welcoming and organized reception area that aligns with the company’s brand image
Offer administrative support to various departments to facilitate smooth day-to-day operations
Manage calendars and coordinate appointments with accuracy and attention to detail
Assist with preparing reports and documents using Microsoft Office Suite tools
Handle incoming calls and correspondence, ensuring timely and accurate responses
Ensure compliance with federal grant-related documentation and administrative processes
Collaborate with team members to streamline workflows and improve overall efficiency
Requirements:
Minimum of 5 years of experience in a receptionist or administrative role
Advanced proficiency in Microsoft Excel, including the ability to create Pivot Tables
Strong organizational and multitasking abilities with a proactive approach to problem-solving
Excellent written and verbal communication skills
Familiarity with scheduling tools such as Microsoft Outlook
Ability to troubleshoot basic technical issues independently or escalate as needed
Experience managing federal grant documentation and processes is preferred
Proven ability to work collaboratively in a team-oriented environment
