Job Description:

We are looking for a dedicated and detail-oriented Receptionist/Administrative Assistant to join our team on a contract basis in Lakeland, Florida. This contract position will support the front office and administrative functions to ensure smooth operations while our current staff member is on leave. If you excel in organization, multitasking, and providing excellent customer service, we encourage you to apply.

Job Responsibility:

  • Manage incoming calls, directing them to the appropriate individuals or departments
  • Welcome clients, vendors, and visitors, ensuring a positive and detail-oriented first impression
  • Schedule attorney-client meetings and handle related administrative tasks
  • Collect and relay information from potential clients to attorneys, including conducting conflict checks
  • Oversee conference room schedules and ensure rooms are prepared for meetings
  • Process incoming and outgoing mail, including date-stamping and distribution
  • Maintain the reception and lobby areas to ensure a clean and organized appearance
  • Monitor and restock office supplies, snacks, and beverages as needed
  • Assist with kitchen upkeep, including cleaning counters, running the dishwasher, and organizing food items
  • Record and maintain monthly mileage logs for attorneys and staff

Requirements:

  • Minimum of 1 year of experience in receptionist or administrative roles
  • Proficiency in handling multi-line phone systems and inbound call management
  • Strong skills in scheduling appointments and managing calendars
  • Ability to organize daily mail processes, including distribution and outgoing mail preparation
  • Familiarity with maintaining office supplies and inventory
