Job Description

Welcomes visitors by greeting them and answering or referring inquiries. Ensures all visitors, vendors and delivery personnel sign in at the front desk and are issued a temporary visitor's badge. Directs visitors/vendors to the appropriate Department or employee. Manages external and internal phone calls and e-mails as required. Oversees distribution of all incoming mail and packages. Schedule, verify and cancel conference rooms and conference calls. Maintain a professional reception area: ensure cleanliness and organization representative of our Company's image: comply with procedures, rules and regulations. Maintain the office breakroom and conference rooms: ordering supplies, cleaning, organizing, stocking, and cleaning of machines. Maintains calendars for business unit including scheduling of meetings, conference calls, etc. Assists with maintaining event calendar and coordination of all office events. Assists office manager with managing all equipment, furniture, fixtures, etc. Responds to written requests for information as required. Provide routine administrative support to various business unit directors as periodically requested. Supports project management activities for special projects. Handles a variety of responsibilities with the utmost confidentiality and sense of urgency. Contributes to team effort by accomplishing related results. Job duties may change with or without notice.

Requirements

  • Associate's degree in business or related field preferred
  • Other combinations of job-related experience and education that meet the requirements may be substituted
  • 3 years of experience or more preferred in administrative support role
  • Experience with MS Outlook, Excel, PowerPoint, and Word required
  • Knowledge of retail business preferred
  • Strong verbal and written communication skills and a high level of organization skills to manage multiple and constantly changing priorities required
