Job Description:

Our business partner is confident that the energy of an office depends first and foremost on the people who bring it to life. As Office and Reception Coordinator, you'll play a central role in keeping things running smoothly and contributing to the well-being of the whole team.

Job Responsibility:

  • Welcoming visitors in a professional and courteous manner, directing them to the right place and announcing their arrival
  • Ensure office security by following internal procedures, keeping the visitor register up to date and issuing access badges
  • Maintaining a clean reception area and mailroom, in compliance with rules and procedures
  • Managing the inventory of office supplies and placing orders (stationery, snacks, fruit, birthday meals, etc.)
  • Supporting the management of meeting room reservations, particularly for conferences
  • Opening, sorting and distributing mail and parcels
  • Supporting various administrative tasks and special projects, including managing mailings
  • Help organise internal events: general meetings, Christmas party, summer activities, etc.
  • Other related administrative tasks

Requirements:

  • 3 to 5 years in an administrative or coordination role, ideally in a dynamic environment
  • Professional attitude, courteous and focused on the needs of colleagues and visitors
  • Ability to juggle multiple tasks effectively and adapt to unforeseen circumstances
  • Thoroughness, precision and pride in a job well done
  • Excellent oral and written skills in French and English
  • Strong skills to stay on track in a fast-paced environment
  • Ability to handle confidential information with tact and professionalism
  • Excellent knowledge of the Microsoft Office suite (Word, Excel, Outlook, etc.)
