As the first point of contact for visitors and clients, your role is pivotal in ensuring the smooth running of the office. You will provide comprehensive administrative support, helping to foster an efficient and pleasant work environment.
Job Responsibility:
Reception Management: Welcome guests warmly and manage the Sign In App efficiently
Daily Office Setup: Ensure the office is ready for the day, including cleanliness of reception, kitchen, common areas, and meeting rooms
Communication Management: Handle incoming calls professionally and ensure all inquiries are addressed promptly
Supply Management: Oversee office supplies, cleaning needs, and stationery in line with sustainability practises
Meeting Coordination: Facilitate monthly management meetings and office briefings, ensuring all details are taken care of
Travel Booking: Arrange travel and accommodation for staff, documenting everything on internal systems
Health & Safety Compliance: Monitor PPE requirements and conduct fire marshal/first aid duties as necessary
Office Maintenance: Liaise with landlords and contractors for maintenance issues and ensure up-to-date records are kept
Requirements:
Strong administrative skills with a keen attention to detail
Excellent communication abilities, both written and verbal
Proficient organisational skills and the ability to juggle multiple tasks
Experience in travel booking and familiarity with a range of systems
A flexible approach and great team-working skills
