This is a fully site-based role requiring strong organisational, communication, and administrative skills.\n\nThe successful candidate will provide reception services and comprehensive administrative support across teams within the operational area. The post holder may be required to support and cover multiple functions during periods of absence, with appropriate training provided.\n\nKey Purpose\n\nTo provide an effective and efficient first point of contact for all visitors and telephone callers, while delivering high-quality administrative support in line with service policies and procedures.
Job Responsibility:
Act as the first point of contact for the Probation Service, greeting people on probation and visitors professionally both face-to-face and via telephone or email
Log visitor arrivals and departures, notify appropriate staff, and issue visitor passes and security fobs as required
Provide clear and accurate basic information about the Probation Service and local support services (e.g. food banks), referring complex enquiries to relevant managers
Use observation, situational awareness, tact and diplomacy to help diffuse potentially challenging or violent situations
Recognise safeguarding or risk concerns and take appropriate action, including informing Probation Practitioners and updating systems such as Delius
Support building security by acting as key holder, monitoring CCTV, operating alarms, and assisting with evacuations
When trained, undertake duties such as Fire Warden and First Aide, and support risk assessments in the absence of a line manager
Manage all building logistics including: Incoming and outgoing mail, Ordering PPE, office stationery, and meeting room equipment, Room, hot desk, and car parking bookings
Supporting meetings and events, including preparation and registration
Process petty cash, bus fares, and travel warrant for people on probation, including transportation between Probation properties
Log building faults and incidents, monitor repairs, and escalate issues appropriately
Make decisions (within guidelines) on the urgency of maintenance issues to maintain building safety and security
Escort contractors and visitors around the building when required
Provide confidential administrative support to operational teams, including: Updating electronic and manual records, Producing documentation and correspondence, Accessing and updating databases, Scanning, archiving, and handling highly sensitive information
