Job Description:

The Real Estate Liaison Lead will be responsible for managing global seat inventories and space utilization with focus on NAM, driving strategic transformation in real estate use, and optimizing operational costs. This role requires a proactive individual with strong analytical and project management skills to support internal businesses and collaborate with various stakeholders to enhance real estate efficiency.

Job Responsibility:

  • Manage the Real Estate interface, overseeing global seat inventories and space utilization information to support internal businesses
  • Extract and report data from real estate inventory systems (e.g., Archibus/Web Central)
  • Maintain and update seating, floor plan, and cost center data within Archibus, including GOCs (Global Occupancy Codes) and seat registrations
  • Process space request forms, Corporate Move Program (CMP) requests for moves, Citi Immigration, and RLP (Real Estate Lifecycle Planning) approvals
  • Drive transformational changes related to space use, seat sharing, utilization, and optimization
  • Develop and deliver reporting and presentations to demonstrate opportunities for reducing operating costs and enhancing real estate efficiency through precise space allocations and waste reduction
  • Champion the Citi Works seat sharing model, driving over-subscription targets and promoting enabling technologies
  • Partner with Real Estate to optimize the existing footprint to solve seat demands internally before requesting additional space
  • Collaborate with Citi Realty Services on strategic planning for future real estate growth and space releases to achieve cost savings
  • Conduct comprehensive data analysis for all real estate projects, including headcounts, real estate inventories, seat utilization, and work patterns
  • Provide businesses with insights into how real estate portfolio efficiency contributes to business objectives and cost reduction
  • Generate weekly real estate reports
  • Manage campus restack projects aimed at creating additional seating capacity
  • Coordinate and communicate all aspects of personnel moves, workplace reconfigurations, construction timelines, technology and equipment changes, and post-move support
  • Lead densification efforts to accommodate growth within leaner, cost-efficient footprints
  • Act as a primary liaison between Real Estate and the business for various real estate initiatives
  • Facilitate communications with Technology teams regarding the above initiatives and office seating arrangements
  • Coordinate with Corporate Security and Investigative Services (CSIS) and Citi Technology Infrastructure (CTI) during office changes for tasks such as badge access modifications, deployment of new technology (e.g., laptops), and provision of user lists
  • Collaborate with Real Estate to right-size business footprint based on utilization data
  • Identify and manage the reallocation of underutilized seats to other businesses
  • Collaborate with the RLP contact from your business to ensure the RLP tool is updated on a quarterly basis and to make corrections as needed if RLP data is inaccurate, supporting both space management and headcount forecasting
  • Maintain and update a SharePoint site for storing and sharing critical documents related to multiple large-scale projects

Requirements:

  • 6-8 years of proven experience in an analytical role
  • Strong analytical skills with the ability to interpret complex data and generate actionable insights
  • Flexibility and a proactive approach to collaborating across diverse regions, readily adapting to North American time zones for seamless meeting participation
  • Experience with real estate inventory systems (e.g., Archibus/Web Central) is highly desirable
  • Excellent project management and organizational skills
  • Ability to communicate effectively with internal businesses and stakeholders at all levels
  • Excellent written and verbal English knowledge is a must
  • Proficiency in creating reports and presentations to convey strategic information
  • Familiarity with technologies promoting flexible work environments (e.g., VDI cloud computing) is a plus
