Job Description:

We are seeking a MAC Specialist to support workplace moves, adds, and changes by validating move requirements, performing on-site space checks, and maintaining accurate space and move data in the Integrated Workplace Management System (IWMS). The role partners with Occupancy Planners (restacks), a Move Manager (scheduling/execution), and a Furniture Specialist (furniture standards, CAD/test-fits, floor plan updates) to ensure moves are delivered smoothly with minimal disruption.

Job Responsibility:

  • Validate move requirements for restacks and smaller moves, ensuring complete scope details and resolving gaps prior to scheduling
  • Conduct physical walk-throughs to verify room/workstation configurations, counts, and constraints align with move requirements
  • document discrepancies and drive resolution
  • Maintain accurate IWMS records for seating assignments, room/space attributes, and move transactions/status
  • Coordinate move readiness dependencies across internal partners and provide clear status, risks, and constraints to the Move Manager and stakeholders
  • Support non-self move execution as needed through day-of checks, issue triage, stakeholder updates, and rapid adjustments
  • Contribute to standard work (templates, checklists, controls) and recommend process/data improvements

Requirements:

  • Bachelor's Degree plus 2 years of related work experience OR combination of education and experience deemed equivalent (Required)
  • 2+ years of experience in workplace services, facilities coordination, move coordination, space management, operations support, or project coordination (or equivalent experience)
  • Experience working in structured systems and maintaining accurate records (IWMS and/or ticketing systems)
  • Intermediate Microsoft Excel skills for tracking, reconciliation, and basic reporting (volume, backlog, defects)
  • Strong attention to detail with proven requirements gathering and documentation skills
  • Strong communication and stakeholder coordination skills
  • able to manage multiple priorities
  • Ability to work on-site as needed for space validations and move support (including occasional schedule flexibility for move events)
  • At least 18 years of age
  • Legally authorized to work in the United States

Nice to have:

  • Experience with an IWMS platform and space/seat assignment practices
  • Familiarity with occupancy planning and/or restack execution
  • Experience coordinating with Facilities, IT/AV, Security/Badging, and EHS in a corporate environment
