Job Description

Provide assistance in oversight of Volkswagen Group of America Real Estate (RE) portfolio activities across the U.S. and management of third-party Service Provider team. Leverage strong organizational skills to lead a variety of projects with a focus on accounting, document management and quality control. Support business needs of VWGoA and Affiliates, and offer solutions for process and physical improvements.

Job Responsibility

  • Operational work – 70%
  • Assist in transaction, project and facility management activities for leased and owned properties in national portfolio
  • Oversee internal chargeback policies and procedures in collaboration with Finance
  • Administer budget, tracking and performance monitoring (KPI) with attention to detail
  • Monitor internal customer satisfaction measures including surveys
  • Coordinate facility oversight with Service Provider, Tax and Finance business units, external vendors
  • Assemble, organize and review invoices, work orders and receipts ensuring compliance with Company policies
  • Create visuals and analytics for executive presentations (PPT and Excel required)
  • Execute Purchasing activities including K-SRM and PO submissions
  • Coordinate the PAR creation and signatory processes
  • Serve as the AQMC for the RE department and be responsible for updated QMS documentation
  • Expedite ongoing construction and facility projects including onsite reviews at Reston HQ
  • Participate in regular meetings with Learning Centers, Parts/Logistic, Affiliates to gain an understanding of location dynamics and future needs
  • Additional responsibilities as assigned

  • Serve as Sustainability lead for the RE department and POC for EH&S
  • Oversee coordination and reconciliation of budget (with Finance Team)
  • Ensure all necessary Purchasing protocols are adhered to and documentation is organized and readily available for compliance reviews
  • Support management of third-party RE Service Provider team (approximately 25) and ensure timely payment of vendors and contractors, following up with Accounting directly as necessary
  • Act as CMS liaison with sensitivity to fast-paced, deadline-driven legal environment
  • Strategy Work – 15%
  • Attend regular meetings and portfolio reviews to ensure portfolio is optimized for business needs
  • Database management and optimization – explore ways quality checks can be optimized with tools such as AI-powered accounting software or OCR technology
  • Physical space planning with Service Provider
  • Special projects as required
  • Support optimal budget plan for annual real estate activities, regular compliance and related actions and measures on a monthly/yearly basis
  • Create positive and safe work environments for VWGoA employees, contractors and guests

Requirements

  • Minimum 3 years general business
  • Bachelor’s Degree
  • Strong organizational competence with ability to set up and maintain files and records
  • Self-motivation and resourcefulness with mastery in initiative taking and multitasking
  • Analytical and conceptual thinking using logic, reason and creativity
  • Communication skills including interpersonal, presentation and written
  • Technical proficiency in general business software including Excel
