Job Description:

This essential role is focused on managing and interpreting complex retail real estate leases to ensure seamless operations across all retail locations. The ideal candidate will possess a strong background in retail leases, demonstrate exceptional analytical abilities to effectively analyze lease terms, and have superior communication skills to effectively interact with various stakeholders and simplify complex legal concepts.

Job Responsibility:

  • Manage and ensure compliance for all real estate-related documents, including permanent location leases, amendments, addendums, and various forms
  • Handle licensing agreements for temporary holiday locations and short-term storage facilities
  • Maintain and update lease recaps/abstracts, ensuring accuracy across all leased properties
  • Organize and oversee all legal documentation within the real estate shared drives
  • Coordinate with landlords to negotiate and extend lease terms, adhering to defined timelines
  • Oversee all related correspondence, including notices, demands, and legal agreements such as estoppels, subordination, and non-disturbance documents
  • Analyze financial data for new or renewed leases and manage reporting to stakeholders
  • Collaborate with property management teams and landlords to address and resolve issues
  • Partner with regional and district sales managers, as well as the Real Estate Manager, to ensure adequate operational space
  • Ensure compliance by verifying the receipt of all required documents for leased locations
  • Provide essential documentation to internal departments promptly
  • Actively manage and resolve any arising lease or property issues
  • Communicate key financial dates to management, including rent commencements, increases, and terminations
  • Work closely with the Maintenance Department to address lease-related maintenance needs
  • Maintain a comprehensive and updated list of landlord contact information
  • Review, organize, and maintain all corporate real estate files
  • Generate weekly progress reports and manage special projects aimed at enhancing operational efficiency.

Requirements:

  • A legal background is required, ideally with extensive experience in lease administration, retail lease management, or property management
  • Deep understanding of Commercial Retail Lease Agreements, with a strong capability to interpret and manage complex lease documents
  • Proficiency with legal terminology and ability to translate legal language into layman’s terms for diverse audiences
  • Advanced skills in Microsoft Office, especially Excel
  • familiarity with DocuSign, Workday, and Tango is highly desirable
  • Detail-oriented, with exceptional organizational skills to manage multiple projects and files
  • Strong quantitative skills, with a thorough understanding of financial terms related to leases such as CAM charges, rent percentages, and breakpoints
  • Capacity to independently handle multiple projects under tight deadlines
  • Preferred certified notary or willingness to obtain certification
