The Radiology Secretary provides comprehensive clerical, administrative and scheduling support for imaging departments across the Mount Sinai Health System. The Radiology Secretary provides support to front office operations to ensure smooth flow of patient care, contributes to staff development, and supports initiatives that enhance patient satisfaction and operational efficiency. The position serves as a key liaison between patients, providers, referring physicians, and staff, while also supporting day-to-day departmental operations.
Job Responsibility
Demonstrates the ability to perform clinical/technical/service/administrative tasks
Provide professional clerical and secretarial support, including phone coverage, reception, mail distribution, transcription, and meeting coordination
Coordinate and schedule all imaging services, including diagnostic, molecular, interventional, and consultative exams across the Health System
Verify that patients meet radiology safety requirements, are appropriately screened for each exam, and receive comprehensive instructions for preparation and post-procedure care
Register patients and maintain accurate demographic, insurance, and authorization information in EPIC Radiant
Verify patient eligibility, coverage, and obtain necessary pre-certifications and medical clearances
Manage work queues, email requests, and scheduling tasks in EPIC Radiant to ensure timely coordination of patient care
Make reminders and confirm calls to patients
reschedule or cancel exams as needed while communicating updates clearly
Collect up-front payments, generate patient estimates, receipts, process requisitions, and ensure accurate posting of required patient tracking milestones
Scan and upload patient documentation, including insurance cards, photo IDs, and other required forms
Prepare and maintain patient charts, physician orders, imaging questionnaires, and related medical records
Ensure clinical histories are complete and relevant for the requested exams, alerting technologists or supervisors of discrepancies
Maintain cleanliness and organization of the work area, ensuring a professional and patient-friendly environment
Report equipment malfunctions or unsafe conditions to appropriate personnel promptly
Attend required in-services and professional development sessions
Perform other related duties as assigned to support departmental operations and patient care
Trains and mentors less experienced staff, and discusses issues of concern with Supervisor
Maintain educational and training requirements relevant to job function
Requirements
High School Diploma or GED required
Associate degree preferred
1–3 years of scheduling, secretarial, or clerical experience in a medical practice or healthcare environment
Knowledge of medical terminology, ICD-9/CPT coding, and experience with healthcare scheduling systems (EPIC Radiant or similar) preferred
