We are looking for a detail-oriented R&D Coordinator to join a collaborative team in Waltham, Massachusetts on a Contract basis. This part-time position supports the day-to-day administrative, operational, and financial activities of the Research & Development function, helping maintain organized processes across purchasing, budgets, vendor coordination, and documentation. The ideal candidate is highly organized, comfortable managing large volumes of data, and able to work independently while partnering effectively with cross-functional teams.
Job Responsibility:
Coordinate the setup and monitoring of capital projects and purchasing records to support accurate financial oversight
Maintain asset documentation and assist finance partners by keeping depreciation-related information current and organized
Process purchase orders for laboratory, pilot plant, and office needs while ensuring orders are entered correctly and tracked through completion
Work closely with Accounts Payable to monitor invoices, address payment issues, and resolve discrepancies in a timely manner
Manage vendor documentation and support ongoing supplier relationships for services, equipment, and operational needs
Oversee contract files by organizing agreements, tracking renewals or updates, and maintaining clear records of related spending activity
Update monthly budget information, assist with forecast tracking, and prepare summaries for R&D leadership review
Preserve accurate data across systems, spreadsheets, and internal trackers to support reporting, audits, and day-to-day team operations
Requirements:
Experience in administrative coordination, purchasing, operations support, finance support, or a related function
Hands-on experience with enterprise systems, with Oracle strongly preferred
Strong proficiency in Microsoft Excel and confidence working with data trackers and transactional records
Demonstrated ability to manage detailed, high-volume work with accuracy and consistency
Effective written and verbal communication skills with the ability to collaborate across multiple teams
Strong organizational skills, sound follow-through, and the ability to work independently in a responsive manner
Ability to handle sensitive or confidential information with professionalism and discretion
Associate or bachelor’s degree preferred, along with experience supporting technical or R&D environments
