The Purchasing & Inventory Coordinator supports the end‑to‑end purchasing lifecycle for assigned product lines, ensuring materials are ordered, received, and maintained accurately and on time. This role works closely with suppliers, internal operations, receiving teams, and Accounts Payable to maintain data integrity, resolve discrepancies, and optimize inventory levels. The ideal candidate is detail‑oriented, highly organized, and comfortable working in a fast‑paced environment with multiple systems and stakeholders.
Job Responsibility:
Execute purchase order creation, updates, and maintenance across assigned product lines using the company’s manufacturing ERP system (ePic)
Monitor open orders and work closely with suppliers to ensure on‑time delivery and resolve delays or issues proactively
Collaborate with Receiving and Accounts Payable to research and resolve invoice discrepancies, quantity mismatches, and documentation issues
Maintain accurate purchase order data, material records, lead times, pricing, and supplier information
Process vendor return requests (RMAs) promptly and track closure to ensure credit or replacement
Monitor inventory levels and stock positions to support production and customer demand while minimizing excess and obsolete inventory
Prepare and analyze Excel reports to support purchasing decisions, inventory planning, and supplier performance tracking
Communicate effectively with cross‑functional teams including Sourcing, Planning, Operations, and Finance
Support continuous improvement initiatives related to purchasing processes, data accuracy, and inventory management
Requirements:
2–4 years of experience in purchasing, supply chain, inventory coordination, or related operations role
Strong proficiency in Excel (VLOOKUP/XLOOKUP, pivot tables, data analysis)
Experience with any ERP or MRP system
Strong attention to detail and commitment to data accuracy
Ability to manage multiple priorities and deadlines in a dynamic environment
Excellent communication and follow‑up skills with both internal teams and external suppliers
Familiarity with Office 365 (Outlook, Teams, SharePoint, Excel, Word)
Nice to have:
Experience in a manufacturing, consumer goods, or product‑based environment
Understanding of basic supply chain concepts such as lead times, safety stock, and inventory turnover
Problem‑solving mindset with the ability to investigate issues and drive resolution
Experience with ePic is a plus but not required
