Job Responsibility

Creates and maintains prototypical and project-specific items and Bill of Materials (BOMs) in accordance with system procedures into a purchasing system
Verifies pricing on item specifications with suppliers
Tracks orders and posts status into system
updates orders in system as required
Collects documentation (flame certificates, warranty and service manuals etc.) and provides to agent/owner
Provides purchasing support to reps, agents and managers
Creates spreadsheets to assist in project costing
Provides estimates of time required to create BOMs based on project complexity and scope
Assists in communicating terms and conditions to non-approved suppliers
Assists in issue resolution of BOMs, spec sheets and change forms

Requirements

Proven experience as a Purchasing Officer or in a similar procurement role in Food and beverage setting. Minimum 2 years’ experience
Strong knowledge of procurement processes, supply chain management, and price negotiations
Proficiency in using procurement software or systems
Computer literacy: Emails, Microsoft word, excel, powerpoint, etc.
Excellent communication and negotiation skills
Strong analytical and problem-solving abilities
Attention to detail and accuracy in data management
Ability to work well under pressure and meet tight deadlines

Job Responsibility

Ensure the purchasing and storing of the consumable, non-consumable food and kitchen equipment in line with established specifications. Ensure compliance with company policies, procedures, and relevant regulations throughout the procurement process
Proceed Purchasing request and closing invoicing process via Metabuyer system
Control and Ensure the highest products quality and sufficient quantity provided to our clients & Guests. Resolve any supplier-related issues or discrepancies, such as late deliveries or defective products, in a timely manner
Comply with the food hygiene, Health & safety management system in place
Apply a strict FIFO procedure who includes: Receiving, controlling, storing, rotating and labelling the products received
Control and monitor accurately the stock inventory on each delivery

Produce and submit a quarterly and a yearly stock inventory

Requirements

Bachelor’s degree in Supply Chain Management, Business Management, related field, or equivalent work experience
1+ years of hospitality FF&E or OS&E project coordination or management experience
Proficiency in Google Workspace
Desire and willingness to learn and implement new technologies
Strong problem-solving and critical thinking skills
Excellent organizational and communication skills
Ability to work independently and in a team environment

Job Responsibility

Consistently monitor, report, and communicate progress for every order issued for a project in proprietary software
Request control samples from design to suppliers for submittal
Assist Purchasing Manager to resolve challenges that arise after orders are issued
Ensure suppliers are providing designers with shop drawings, finish samples, etc.
Monitor the approval process for all submittals to design and update submittal matrix
Work with proprietary Source software to update specification changes
Coordinate project resources, tasks, and timelines
Maintain awareness of project budgets and cash flows
Assist with researching and evaluating product options
Work with internal teams to determine product needs and specifications
