As a Purchasing Assistant (Receiver), you will play a key role in ensuring the smooth and efficient flow of goods and supplies into the hotel. You will be responsible for verifying all incoming deliveries against purchase records and specifications to ensure accuracy, quality, and value. Your meticulous attention to detail will help maintain our high standards as you verify items received, update daily receiving reports in the system, and ensure all goods are correctly delivered to their respective storage areas. Throughout, you will uphold the highest level of professionalism and integrity in all dealings with vendors and delivery personnel.
Job Responsibility:
Verify all non-food and beverage deliveries against approved purchase orders, declining any unauthorized deliveries
Maintain organized and up-to-date receiving records for all purchase orders
Inspect the quality, condition, and quantity of goods/supplies received before storage
Work closely with the Executive Chef, Purchasing and Finance teams to ensure all goods/supplies meet policies and standards
Ensure all deliveries are received only at designated areas and properly documented with receiving stamps
Process returns, discrepancies, and credits accurately and promptly
Update electronic systems for Purchase Orders, Inventory, and Accounts Payable
Generate daily receiving reports and verify postings for accuracy
Maintain cleanliness, security, and organization of the receiving dock and storage areas
Conduct temperature checks of chilled and frozen items and monitor product shelf life
Support monthly and quarterly inventories, ensuring accurate reconciliation
Assist in invoice verification and discrepancy resolution with Accounts Payable
Contribute to hotel sustainability, safety, and food hygiene initiatives
Requirements:
Preferably one year of experience in a similar receiving or purchasing role within the hospitality industry
Team player with excellent communication and relationship-building skills
Proficiency in computer systems related to purchasing and inventory
Ability to read, write and communicate effectively in English
Ability to work in a prudent, and organized manner
Demonstrate the ability to multitask and possess a detail-oriented approach
